Privacy Policy
VoiceDepot is a service of AppsTango LLC. We collect the minimum information needed to run your AI receptionist and protect your callers' data. This Policy explains what we collect, why, and your rights.
1. Who We Are
VoiceDepot is a service of AppsTango LLC, a Utah limited liability company ("VoiceDepot", "we", "us"). Our principal place of business is in Lehi, Utah, USA. You can reach us at hello@voicedepot.cloud.
2. Scope
This Privacy Policy applies to information we collect (a) from customers who sign up for or use the VoiceDepot AI receptionist service via voicedepot.cloud, and (b) from end-callers who place calls to a phone number routed through the VoiceDepot platform. It applies to our website, our API, our SMS service, and the voice service.
3. Information We Collect From Customers
Account information: name, email, business name, business website, business phone number, billing information processed by Stripe (we do not store full card numbers).
Configuration: greeting text, hours, services list, pricing, FAQ, address, calendar URLs, owner phone, alert preferences, and other training-knowledge-base data you enter.
Usage: pages visited on voicedepot.cloud, feature usage in /portal, IP address, browser, device identifiers, timestamps.
Communications: emails, SMS, and support requests you send us.
4. Information We Collect From End-Callers
When a caller dials a phone number routed through VoiceDepot, we collect: (a) the caller's phone number (Caller ID); (b) audio of the call (recording); (c) a transcript of the conversation produced by ElevenLabs; (d) any contact details, appointment requests, or other information the caller voluntarily provides during the call.
Callers in two-party-consent states are notified at the start of each call that the call may be recorded and is being handled by an AI assistant.
If a caller replies to an SMS message we send (e.g., DONE, STOP, training commands), we collect the SMS content and phone number.
5. How We Use Information
We use the information to: (a) operate the AI receptionist (answer the call, capture the lead, text the customer); (b) maintain customer accounts and process payments; (c) generate the call log, transcript, and analytics that the customer can view in their portal; (d) send transactional notifications (lead alerts, appointment requests, billing receipts); (e) detect and prevent fraud, abuse, and TCPA violations; (f) comply with legal obligations; (g) improve the service through aggregated, de-identified analytics. We do not sell personal information.
6. Voice & Transcript Data Retention
Call recordings, transcripts, and lead-capture records are retained for 90 days by default and then automatically deleted. Customers may request earlier deletion via the portal or by emailing hello@voicedepot.cloud. Aggregated, non-identifying analytics may be retained longer. Voice data is never used to train third-party AI foundation models.
7. Subprocessors
We share the minimum data necessary with the third-party processors listed at voicedepot.cloud/subprocessors (Twilio for telephony, ElevenLabs for voice synthesis, AWS for hosting and inference, Stripe for payments, Composio for calendar OAuth, SendGrid for email, Spider.cloud for website scraping). We have data-processing agreements with each subprocessor.
8. Customer's Callers — Controller / Processor
For data collected from end-callers, our Customer (the business that owns the phone number) is the data controller and VoiceDepot acts as a data processor on the Customer's behalf. End-callers seeking to access, correct, or delete their data should contact the Customer business directly. VoiceDepot will assist customers in fulfilling such requests.
9. Your Rights (Customers)
California (CCPA/CPRA): you have the right to know what personal information we collect, request deletion, opt out of sale (we do not sell data), correct inaccurate data, and limit use of sensitive personal information. Contact hello@voicedepot.cloud to exercise these rights.
Other US states (Colorado, Connecticut, Virginia, Utah, etc.): you have substantially similar rights — contact us via the same channel.
International: VoiceDepot serves US small businesses. We do not target the EU, UK, or other international jurisdictions. If you are an international user, please be aware your data will be processed in the United States.
10. Cookies & Tracking
We use first-party cookies for session management, authentication (NextAuth), demo-token persistence (voicedepot_try_token), and basic analytics. We do not use cross-site advertising trackers without your consent. See voicedepot.cloud/cookies for a full breakdown and opt-out instructions.
11. Security
We use AWS-hosted infrastructure with: encryption at rest (AWS KMS) and in transit (TLS 1.2+); IAM-scoped per-service access; per-customer DynamoDB partitioning; signed Stripe webhook verification; signed ElevenLabs tool-call verification; rate limiting; WAF rules. No system is impervious — promptly notify us of suspected security issues at hello@voicedepot.cloud.
12. Children
VoiceDepot is a B2B service for adult business owners. We do not knowingly collect personal information from children under 16. If you believe we have collected such data, contact us and we will delete it.
13. Changes
We may update this Policy. The "Effective" date at the top reflects the most recent change. Material changes will be communicated via email at least 30 days in advance for active customers.
